URSafe NoteCase-PC - User Guide

First Time Run

  • If you are running URSafe NoteCase PC for the first time, create and enter your desired password.
  • Note that this is the only password! You must never forget it, so choose it with care.
  • The password can not be less than 8 letters, numbers or symbols, but for increased security, it should be longer.
  • To safeguard your sensitive data, we suggest you to do not create passwords that use information that is related to you, like dates or phone numbers.
  • Remember your URSafe NoteCase PC password and store it in another safe place. Our system will only ask you for your URSafe NoteCase PC password!
    Let us remember all other secrets and codes for you.

Normal Run

  • This is the Login window of URSafe NoteCase PC waiting for your password before opening the document database.
  • It will appear automatically whenever you run URSafe NoteCase PC or after a screen timeout while you are using the program. This timeout mechanism will safeguard your data by logging you out and returning you to the login screen if you leave your desktop or notebook while running URSafe NoteCase PC.
  • Enter your password and click Open NoteCase button to go to the Document List.
  • The Exit button will end URSafe NoteCase PC .

Switch Database

  • With the Switch DB button, at every time you start URSafe NoteCase PC you may choose to open a different Database or even create a new one.
  • When you choose a new database, the corresponding backup path will also be automatically updated based on the Preferences setup for that database.
  • You may create as many databases as you wish and you can create them in the same directory (folder) or create one in each folder. If in the same directory (folder), then the names must be different. You may want to do this so each person in your family has a unique, personalized database.

Document List

  • This is the first screen you will see after you entered the password. Shown on the left panel are all the stored documents organized in Categories and sorted alphabetically.
  • Single click on any existing document in the list and it will appear in the right panel. You can then Edit the data in the right panel as needed and save it clicking on Save Document button.
  • To insert a new document, simply click on an existing Category or enter a new one in the field Document Category. Enter all other details in the right panel, then click on Save Document button.
  • To delete a document, select it in the left panel so it is visible on the right panel. Then click the Delete Document button.
  • To maintain the privacy of your data, you can quickly hide this window before the timeout specified in Preferences, simply click on Hide button. This is useful if someone is approaching or passing by and you wish to shield your data. This will hide the entire screen.
  • To terminate the application click Exit button.

Search Document

  • In the Main Document screen, on the Search field you can enter a word to search in the entire documents database. This field is not case sensitive, so you don't need to worry about.
  • To start searching click Go button.
  • This is the result of your Search, allowing you to navigate, using the arrow buttons, between all documents that matched the word entered.
  • Returning from this window with the Ok button, you will return to the Main Document screen with the current document opened.
  • When you click on the small photo above the Document Category field, the Photo Viewer window is opened.
  • You can navigate through the photos related to the document being viewed using the arrow buttons.
  • Resizing the window will resize the image.
  • Return to the document being viewed with Close button.

Edit Document

  • In the Edit Document screen, you have three fields of freely formatted multiline information. You can enter anything here just as you would in a word processor. These fields are:
    • Document Details
    • Secret Code
    • Notes
  • If you change the content of any field, click on Save Document button to save its content in the database.
  • The Show/Hide Secret Code field allows you to rapidly hide or unhide the secret code content in order to lessen the time it is exposed to prying eyes. Show/Hide Secret Code hides just the secret code field whereas the Hide button quickly hides the entire screen.
  • The field Document Category may be edited in order to move a document from one Category to another or to create a new Category.
  • The field Document Name may also be changed, but cannot be duplicated.
  • When you click on the small photo above the Document Category field, the Photo Management window is opened. For example, you might post an actual photograph of the credit card or person that is the topic of this particular document!
  • You can navigate through the photos related to the document being edited using the arrow buttons.
  • To erase the current photo use the + (plus) button.
  • To include a new photo use the x (ex) button.
  • Resizing the window will resize the image.
  • Return to the document being edited with Close button.

Database Synchronization

  • On the left you can see two sessions of URSafe NoteCase PC version running.
  • One of session of it is running as a Server (disabled button labeled Server Up ). In another session it is running as a Client (left button labeled Sync DB). This way you can synchronize both databases resulting with both containing the same data.
  • This same scheme could be used between two different machines residing on your LAN or on a WAN, depending on how you have set the configuration in Preferences. Remember that URSafe NoteCase Android version will always act as a Client so the PC session mest be running as a server.
  • If you you are running this function over a WAN, you must configure your NAT router function to forward the TCP Port specified in Preferences to your desktop machine where the Server session is running.

Tools > Save Backup

  • This option will save the encrypted URSafe NoteCase PC documents database and images on the Backup Path specified in the Preferences options.
  • For increased safety, we suggest you to maintain a copy of this directory on your Desktop or Notebook computer or any other safe medium or enable the Backup Email options in the Preferences options.
    The best way to do this is using URSafe NoteCase PC and Synchronization with a separate computer or your Smartphone.

Tools > Restore Backup

  • This option will recreate your encrypted documents database in the Database Path specified in the Preferences options.
  • The second and third windows on the left show you the sequence of this operation.

  • Never forget your password, because it cannot be recovered in any way.
    Only you have it.
Note:
The .XML backup file is compatible between URSafe NoteCase PC and URSafe NoteCase Android. The only restriction is that on the Android, the file name must be 'NoteCaseDocsBackup.xml' and it must be located in the '/mnt/sdcard/NoteCaseDocs/Backup/' directory.
If you wish to simply copy the backup files between devices then you will have to rename the backup file or keep the default 'NoteCaseDocs' name on the URSafe NoteCase PC sessions.

Tools > Change Password

  • This Option will let you create a new password for your use.
  • The password cannot be less than 8 letters, numbers or symbols, but for increased security, it should be longer.
  • To safeguard your sensitive data, we suggest you to do not create passwords that use information that is related to you, like dates or phone numbers.
  • Remember your URSafe NoteCase PC password and store it in another safe place. Our system will only ask you for your URSafe NoteCase PC password!
    Let us remember all other secrets for you.

  • After you change your password, you must make a Backup in order to update your database Backup with the new password!!
    If you do not, any attempt to restore will fail unless you happen to remember the old password.
    After the Maximum number of Password Retries specified in Preferences, all your database including the backup files, will be erased!

Tools > Preferences

  • General
    • View or Hide the Tool Bar on the main window.
  • Time to Hide Document Window (in seconds)
    • This option lets you set a time after which, the document window will disappear and you will be obliged to reenter the Password Entering data initially will take more time than viewing data, so you may set this to a higher value while first entering data and then set it lower for regular use.
  • Maximum number of Password Retries
    • For data security, you may set the number of password attempts before the activation of the Auto-destruction feature.
    • The Auto-destruction feature will erase the encrypted database, images and all Backup files as well. This is done to protect you from someone trying to tamper with your data.
      Never forget your password, because it cannot be recovered in any way. Only you have it.
  • Database Path
    • This field will be automatically changed if you choose a new database via Switch DB button of Login window.
    • You may change the Database Path yourself to point a specific directory or folder.
  • Back-up Path
    • This field will be automatically changed if you choose a new database via Switch DB button of Login window.
    • You may change the Backup Path yourself to point a specific directory or folder.
  • Backup Email Options
    • For increased security of your sensitive data, we can automatically send an email of your Database Backup each time you do Save Backup function.
    • To enable this functionality you simply need to enter the SMTP Server address of your email server and its SMTP Port.
    • If your SMTP Server also needs authorization, then check the SMTP Authorization box and then fill in the User ID and Password.
    • And, do not forget to inform also Email From and Email To fields.
  • In Synchronization Options you can:
    • Enable or Disable the synchronization functionality.
    • Change the TCP Port number that will be used for this function.
    • Enter a LAN IP Address for LAN synchronization. When running as a Client, get the Server IP Address on the message line at the bottom of the main screen of the Server.
    • Enter a DNS Address to be used for synchronization while connected from outside of your LAN with a service like No-Ip or DynDns. If you have a fixed public IP, you can also use it here.

    • On the machine running the server session for Synchronization, please leave LAN IP Address as "127.0.0.1" and DNS Address as "localhost". Synchronization works with your Android version of URSafe NoteCase or with another URSafe NoteCase PC version.
    • On the other PC machines, Android phones or tablets running client sessions, you need to point them to the IP address of the server described above.

Help > License Manager

  • This is the place to convert your Trial License to Permanent License. To do this, you just need to click the Open License button and select with the mouse the XML license file you received by email.
  • In case you does not have it yet, you can buy the URSafe NoteCase PC version by just clicking on the Buy License button.

Help > User Guide

  • By clicking on User Guide menu option you will be directed to the page you are viewing.

Help > About

  • On the About menu option you will be find information regarding Copyright and Version of URSafe NoteCase PC version.
